IBM Global Administration (GA) provides administrative support to IBM Executives. This managerial role oversees the Japan country, managing a workforce of approximately 55 team members, and reports to the APAC & Japan leader of the Global Administration organization.
- Lead a diverse team of IBM Regulars, vendors, and Supplemental EAAs(Executive Administration Assistant) to deliver high-quality administrative support to IBM Executives (Clients).
- Build an organization of highly motivated EAAs committed to achieving outstanding client satisfaction.
- Continue the transformation journey of Global Administration with a strategic mindset and a focus on global consistency in best practices. Collaborate with HR Services to identify opportunities for elimination, simplification, and automation.
- Inspire and coach team members to foster engagement, enabling individuals to reach their potential and create a high-performance culture.
- Align GA learning initiatives with HR development programs to equip EAAs with the skills necessary for professional growth and career advancement. Encourage a learning mindset.
- Anticipate the future needs of IBM Executives to ensure that EAA skills remain relevant and continually evolve.
- Coordinate with Procurement to ensure the competitiveness of external vendor suppliers.
- Establish productive relationships with contractor vendors to develop leading-edge services.
- Manage and enhance the client experience within the region.
- Engage in challenging conversations with senior leaders to advocate for the IBM Global Administration model, helping them understand the benefits of aligning with this model.
- Over five years of experience managing teams of more than 20 members, with a strong track record in performance management.
- Excellent communication and negotiation skills, with a proven ability to handle difficult conversations at the executive level.
- Strong ability to build positive client relationships and effectively manage priorities.
- Proficient in operations with a systematic, process-oriented approach that includes root cause analysis, productivity management, and escalation management.
- Possess a forward-thinking, agile, and transformational mindset.
- Experienced in project management and change management.
- Capable of collaborating with, influencing, and advising peers, managers, and clients on Global Administration topics.
- Skilled in dealing with diverse cultures.
- Proficient in Japanese at a business level or higher.
- Proficient both in Japanese and English at a business level or higher.
