As an Executive Administrative Assistant at IBM, you will support several UAE Executives with the following tasks:
• Time Management: Efficiently managing and prioritizing executives' schedules.
• Meeting Coordination: Setting up meetings across multiple countries and time zones.
• Logistics: Reserving meeting rooms, arranging technical equipment, and coordinating catering services.
• Conference Calls: Organizing national and international conference calls.
• Travel Arrangements: Detailed planning and organization of travel itineraries, including arranging visas where necessary.
• Agenda Preparation: Creating and preparing meeting, event, and workshop agendas.
• Travel Accounting: Handling travel-related expenses and accounting.
• Email Management: Managing the email inboxes for supported management.
• Event Management: Organizing events and workshops.
• Presentation Preparation: Editing and preparing presentations.
• Team Support: Standing in for colleagues during vacations and sicknesses.
Experience: At least 2 years of experience as an assistant, preferably in an international company.
• Languages: Fluent in Arabic and English (spoken and written) for daily communication.
• Technical Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint), Outlook, and experience using the internet.
